What to do if your employee's personal details change?

For security reasons, personal data protected under GDPR cannot be sent to Smartum via email or chat. This article provides instructions on how to proceed when your employee’s personal details change.

Logging into the SmartumPay app with strong authentication

If an employee’s name changes and they log into the SmartumPay app using strong authentication, no action is required. SmartumPay automatically retrieves the updated name details during the strong authentication process.

Strong authentication refers to using Mobile ID or online banking credentials. Mobile ID is free for Elisa business subscriptions.

Logging into the SmartumPay app with email and password

If employees use the SmartumPay app with an email address and password, Smartum must manually update the name in its database.

For security reasons, we cannot change the name based on a request made via chat or email. In such cases, the employee must send a copy of their identification to Smartum via Securedmail.

How to send a secure message via Securedmail:

  1. Go to www.securedmail.fi.

  2. In the "Send Securedmail to recipient" field, enter the email address kumppanit@smartum.fi and click "Send".secured-mail

  3. Write your message and attach any necessary files.

  4. You can accept the suggested password for the message or create your own. The password will be sent to your mobile phone via SMS.

  5. Click "Send".

  6. You will receive a confirmation request via email from the Securedmail service. You must confirm the message by clicking the link in the email. The message will only be sent after this confirmation!

  7. We will update the employee’s name within five (5) business days.

Note: The updated name will automatically appear in the employee’s SmartumPay app when they log out and log back in using strong authentication. Strong authentication verifies the correct benefit user and retrieves the updated details.

Employee's email address changes

An employee’s email address can be changed either by the employee themselves or by Smartum.

The employee can update their email address by logging into the Smartum Saldo service at https://extranet.smartum.fi/login. Once logged in, open profile details by clicking the red profile button in the top left corner.

  1. Enter the new email address.

  2. Click Save.

Smartum can also update the email address based on a Securedmail request. The instructions are provided earlier in this article. This process is required if the employee cannot log in to update their email address themselves.
