Different user roles in the partners' online service and how the roles differ from each other

In this article, we describe the types of user roles in the partners' online service. The user role determines what company information the user can edit or view

Smartum's partners can view and manage payments, settlements, and their information in the partners' online service. Your online service user account is always linked to a user role. However, one individual can have access to multiple different roles. The partner is responsible for defining the roles for the company's employees.

What different roles do Smartum's partners have in the online service?  

A partner can have four different roles. The different roles are:

  • Service Provider Manager
  • Venue Manager
  • Accountant
  • Cashier

One individual can simultaneously hold multiple different roles. If the information you are looking for is not visible, first check which role you are using to view the company's information and ensure you have selected the correct company or location. Read more about changing the company/location or role at the end of this article.

How do the different roles differ from each other?  


The role a user has affects what company information the individual can update or view in the online service. Below is a list of the different roles and a description of what can be done with each role.

Service Provider Manager
  • Can add another Contract Manager or Payer from the 'User Management' section.
  • Can add a Main User to the location. The Main User is added under 'Location Information.'
  • Can manage all information related to the contract.
  • Can terminate the contract with Smartum.
  • Can view reporting data (same view as the Payer, read more below).
  • Cannot view the charge history visible under individual locations, which also shows payments that have not yet been settled, as well as payment details.
  • Cannot process refunds.

Venue Manager

  • Can view the charge history of the specific location.
  • Can edit the information of the specific location.
  • Can add cashiers to the locations they manage.
  • Can process refunds related to the specific location.
  • The user does not have any other functionalities or views in the online service.

Accountant

  • Can view settlement reports.
  • Receives Smartum's settlement statements sent via email.
  •  The Payer does not have any other functionalities or views in the online service.

Cashier

  • Can view the charge history of the location.
  • Can process refunds related to the specific location.
  • The user does not have any other functionalities or views in the online service.

Changing Roles in the Online Service (if you have multiple roles at the same time)


You may have multiple different roles in our partner online service. If you manage several different companies and/or venues, you can change your role by first selecting the correct parent account (company oy) or venue from the dropdown menu on the left (see the image below).

Under the parent account, you will find the Service Provider Manager role as well as the Accountant role. By clicking on the role, you will open a dropdown menu. Select the role you want to use to view your company's information.

Under the venues, you will find the Venue Manager role as well as the Cashier role. If you want to change your role, make sure you have selected the correct company/venue whose information you wish to examine.
